How Balances looks after your books

Your books are your business. Here is where your data lives, who can reach it, and how you control what an AI can do with it.

Where your data lives

Balances runs on Render, in the United States. Data is encrypted in transit and at rest.

Bank connections

Banks and cards connect through Plaid. You sign in to your bank with Plaid, so Balances never sees or stores your bank username or password.

Signing in

Sign in with a passkey (Face ID on iPhone), with Google, or with a password and an authenticator app. Recovery codes and trusted devices are built in, and changing your password, email or two-factor settings asks you to verify again. On iPhone you can require Face ID to reopen the app.

Who can see your books

You choose who joins your workspace and what each person can do, from view-only to admin. An accountant you invite works in the same books with the role you give them.

AI and your data

The AI in Balances sends the parts of your books it needs to our AI providers, Anthropic and OpenAI, under terms that don’t allow them to train their models on your data.

Every change an AI makes is recorded in Activity History under the person who asked, marked “via Balances assistant” or, for your own Claude or ChatGPT, “via Claude (AI connection)”. A connected AI app reaches only the workspaces you choose, never more than your own role, and you can disconnect it at any time in Settings → AI connections. Details for developers are in llms.txt.

Your data stays yours

Export your whole ledger whenever you like. If you delete your account, it is scheduled for deletion and permanently removed after a 30-day grace period, as described in the Privacy Policy.
